With the Freehand app for Zoom you can share freehands and work with stakeholders during your Zoom meetings. Share an existing freehand, create a new one together, and present freehands, all without leaving the Zoom window.

Once your Zoom meeting ends, you will continue to have access to all the freehands created or updated during the call in your InVision account.

Install the Freehand app in Zoom

To start sharing and presenting freehands in your Zoom meetings, you first need to install the Freehand app. If you already have the app installed, you can skip to Using the Freehand app during a Zoom meeting.

To install the Freehand app

  1. Open Zoom and select the Apps tab. You can also access the Apps tab from the toolbar of your Zoom meeting
  2. In the Discover tab, click Discover more apps on App Marketplace. A new browser window for the Zoom App Marketplace will open.
  3. Search for and click InVision Freehand - Whiteboard.
  4. Click Sign in to sign in to your InVision account and add the Freehand app on Zoom.
  5. Enter your InVision credentials. Follow the prompts to allow the app and open Zoom or launch a meeting.
  6. The Freehand app will appear now in the tab My Apps in Zoom.
TipOnce you have installed the Freehand app in Zoom, click Invite at the top of the Freehand app panel to share the app with the other participants in the call. Participants will receive a message in the call chat with a link to install the Freehand app from Zoom Marketplace.

Use the Freehand app during a Zoom meeting

Before you start

  • All participants have the ability to share a freehand during a meeting.
  • The host or co-host of the Zoom meeting must start Collaborate mode. Once Collaborate mode starts, all call participants can select and present freehands. If you aren't the host or co-host of the meeting and want to lead the presentation, click Collaborate at the top right corner of the Freehand app window to ask the host to start Collaborate mode.   • Call participants can leave Collaborate mode and rejoin at a later time.
  • To edit the freehand, call participants need to be members or guests in your InVision team and have editing access to the Freehand document.

  • You can present one freehand at a time during a Zoom meeting. If someone tries to present a freehand while another presentation is active, that new freehand will replace the active freehand.
  • All participants in the Zoom meeting need to install the Freehand app in Zoom to edit the freehand.

To create a new freehand and share with meeting attendees:

  1. Once you’ve installed the Freehand app in Zoom, select the app in the My Apps tab in your Zoom meeting.
  2. If you haven’t signed in yet, follow the prompts to sign in to your InVision account.
  3. Click + Create and present.
    Note: If you are the host or co-host of the meeting and you haven’t launched Collaborate mode yet, you will see a message to start Collaborate mode. Click Allow. A new freehand will open in the Zoom meeting and call participants can join Collaborate mode at the top of the Zoom meeting window.
  4. You can now edit the freehand directly in Zoom and present it.

To select an existing freehand and share with meeting attendees:

  1. Once you’ve installed the Freehand app in Zoom, select the app in the My Apps tab in your Zoom meeting.
  2. If you haven’t signed in yet, follow the prompts to sign in to your InVision account.
  3. Select one of the freehands available.
    Tip: You can click the Expand App View icon at the top right corner to expand the freehands dashboard view.
  4. A preview of the Freehand will open. Click Present Freehandto start presenting and sharing the freehand with the other attendees.
    Note: If you are the host or co-host of the meeting and haven’t launched Collaborate mode yet, you will see a message to start Collaborate mode. Click Allow. A new freehand will open in the Zoom meeting. Call participants can join Collaborate mode from a notification at the top of the Zoom meeting window.
  5. You can now edit the freehand directly in Zoom and present it.

During a Zoom meeting, any participant can switch to a different Freehand and present it to the other call attendees.

To switch to a different Freehand during a Zoom meeting:

  1. Click All freehands at the top left corner of the Freehand app.

  2. The Freehand app dashboard will open.
    Note: The other meeting participants will continue to view the freehand.
  3. Select + Create and present or select an existing freehand.
  4. If you chose an existing freehand, a preview of the Freehand will open. Click Present Freehand to start presenting.
  5. If you are the host or co-host of the meeting and you haven’t launched Collaborate mode yet, you will see a message to start Collaborate mode. Click Allow.

The new selected freehand will replace the active freehand.

How to stop presenting a freehand and end Collaborate mode

To stop presenting a freehand with meeting attendees, click Close at the top left corner of the Freehand window. After that, all participants in the call will stop seeing the freehand and instead see the Freehand app dashboard.

To stop Collaborate mode, click End at the top right corner of the Collaborate mode window.

Note: Only the freehand presenter has the option to close the freehand, and only the user that starts Collaborate mode will be able to end it.

Using Freehand and Collaborate mode in Zoom

Collaborate mode in Zoom allows you to share freehands with all call participants, including those who don’t have the Freehand app installed yet.

The host and co-host of the meeting can start Collaborate mode in the Freehand app by clicking Collaborate at the top right corner of the Freehand app window. To end Collaborate mode, the user that started it will have to click End at the top right corner of the Freehand app window.

When Collaborate mode launches during a meeting, call participants will see a message to join. Depending on their access to the Freehand app, the shared document, and if they decide to join Collaborate mode, participants will see the following options:

  • Users who installed the Freehand app in Zoom and have access to the shared freehand can start collaborating after joining Collaborate mode.
  • Users who installed the Freehand app in Zoom but haven’t signed it yet to their InVision account must sign in after joining Collaborate mode.
  • If users have already installed the Freehand app in Zoom and the Freehand share link is set to Anyone with the link, they will be able to view the Freehand after joining Collaborate mode. Users who don’t have access to the document can request access after joining Collaborate mode.
  • Users who haven’t installed the Freehand app will be prompted to install it.
  • Users who don’t join Collaborate mode will see the shared Freehand, but they won’t be able to edit it.
